Refund and Cancellation Policy

Revision: 1.2
Published: 16 October 2026
Effective from: 16 October 2026, for a refund decision made from that day, whatever revision governs the purchase itself — see section 11. Sections 2.1 and 2.2 (the withdrawal waiver) are unchanged from revision 1.1: a purchase made before 11 October 2026 still keeps revision 1.0 for that question — see section 10.

What this document covers. Money you have paid us, and getting it back. It covers the two things we sell:

what it ishow it is paid
Astra licencea perpetual licence to use the Astra program on your own computerone payment; nothing expires and nothing renews
Astra Plus / Astra Proa monthly subscription to our cloud service, which routes your requests to third-party AI and speech providers and gives you a monthly allowance of creditscharged monthly, and it renews automatically until you cancel

The two are different purchases with different rules, and this document keeps them apart throughout. Buying a subscription does not give you the Astra licence, and cancelling a subscription does not take the licence away.

Delivery and use, defined once for this whole document.

  • The Astra licence is delivered when your account is marked as owning Astra. From that moment you can download the program and use it with your account.
  • Every request the Astra app sends to our cloud AI or voice service on your account is performance of the contract — whether it is drawn from a subscription's monthly allowance or from any trial allowance that comes with the licence. Each such request uses credits, and we can tell you how many you have used.

1. Your rights under the law come first

Nothing in this policy reduces any right you have under the law of the country you live in. Where this policy gives you more than the law requires, this policy applies. Where the law gives you more than this policy, the law applies and you do not need to argue about it — write to us and say so.

Sections 2 and 3 describe the rights the law already gives you in two places. Section 4 is what we offer on top, everywhere.

2. If you are a consumer in a country listed in 2.0

2.0 Where this section applies

This section is for you if you buy as a consumer and you live in one of the countries below. Each of them gives a consumer 14 days to withdraw from a purchase made at a distance, and lets that right end early for digital content or a service delivered at the consumer's express request. Which law protects you is decided by where you habitually live — not by where you happen to be, or where your internet connection appears to come from, when you pay.

The payment page shows the box described in 2.1 and 2.2 only to a buyer it locates in one of these countries by IP address. Before you pay, that is the only thing it can go on — your card is known only on the payment provider's own page. If you live in one of these countries and the page did not show you that box — because you were travelling, used a VPN, or your connection was placed somewhere else — you did not make the request it describes, and you keep the full 14 days, exactly as the third point of 2.1 and the last paragraph of 2.2 say.

If you live anywhere else, section 1 still applies — the law of your country comes first — and section 4 is what we offer on top.

2.1 The Astra licence: 14 days — until it is delivered at your request

The Astra licence is digital content. By law you have 14 days to withdraw from a distance contract without giving a reason, and to get all your money back.

For digital content the same law ends that right once delivery has begun, if all three of these are true (Article 16(m) of Directive 2011/83/EU, and the equivalent rule of the other countries listed in 2.0):

  1. you expressly asked for delivery to begin straight away, before the 14 days were over;
  2. you acknowledged that by doing so you lose the right of withdrawal; and
  3. we confirmed both to you on a durable medium — by e-mail.

The payment page asks you for the first two when it locates you in a country listed in 2.0: next to the Pay button there is a box you must tick before you can pay. It holds this sentence and nothing else (accepting these terms is a separate line above the button):

I expressly request that the Astra licence be delivered to my account immediately after payment, and I acknowledge that I lose my 14-day right of withdrawal once it has been delivered (when my account is marked as owning Astra).

Right after payment we send you the third: an e-mail that confirms the purchase, the request and the acknowledgement, quotes the words you agreed to, and attaches the Terms of Service and this policy as in force when that e-mail was sent. Keep it.

So, for a licence bought that way:

  • before it is delivered you may withdraw for any reason or none, and we refund the whole amount;
  • once it is delivered the right of withdrawal has ended, and losing interest or changing your mind is no longer a ground for a refund;
  • if any one of the three did not happen — the page you paid on did not show that box, or we did not send you the confirmation — you keep the full 14 days for any reason or none, and you owe us nothing for having used the licence in the meantime;
  • a fault is a different matter and is never given up this way: see 2.3 and 4.3.

If you bought the Astra licence before 11 October 2026, the page you paid on did not show that box: you have 14 days from the purchase to withdraw for any reason or none, with the whole amount back — as revision 1.0 of this policy said while it was in force (from 5 October 2026), and as the law says for anything earlier.

Write to contact@minice.ai — see 2.4.

2.2 The subscription: 14 days, and you pay for what you used

The subscription is a digital service, not digital content, and the rule is different in a way that matters.

For a service, the withdrawal right ends early only when the service has been fully performed. A monthly subscription is not fully performed until the month ends — so for the first 14 days the right is still there, whether or not you have used your credits.

What using it costs you is decided at checkout. When the payment page locates you in a country listed in 2.0, there is a box next to the Pay button that you must tick before you can pay. It holds this sentence and nothing else:

I expressly request that my subscription start immediately. I acknowledge that if I withdraw within 14 days I pay a proportionate amount for the credits I have already used (every request Astra makes to the cloud service uses them), and that I lose the right of withdrawal once the service has been fully provided.

We confirm it by e-mail right after payment. Because you asked for the service to start at once, if you withdraw within 14 days (Article 14(3) of the Directive, and its equivalents):

  • you get your money back, minus a proportionate amount for the part already supplied;
  • "proportionate" is measured by the credits you actually used against the month's allowance — every request the Astra app sent to our cloud service on your account counts, because that, and not the calendar, is what you received;
  • if you used nothing, the proportion is nothing and you get the full amount back.

We publish the consumption figure we used, so you can check the arithmetic.

If the page you paid on did not show that box — every subscription started before 11 October 2026, and any started where the page did not locate you in a country listed in 2.0 — you did not make that request, and the law does not let us keep anything for what you used: withdraw within 14 days and you get the whole amount back.

2.3 If it is broken, that is a separate right and it has no time window like this one

Withdrawal is about changing your mind. Faults are different. If the product does not work as we described it, you are entitled to have it brought into conformity, and if we cannot do that within a reasonable time, to a price reduction or to end the contract and get your money back. That right is not spent by using the product, and it is not limited to 14 days.

2.4 How to withdraw

Write to contact@minice.ai with any clear statement that you are withdrawing. You may use the model withdrawal form published at /legal/withdrawal-form, but you do not have to. Sending it within the 14 days is enough; it does not have to reach us within them.

3. If you are in the United States

There is no general federal cooling-off period for digital purchases. The voluntary policy in section 4 is what applies to you, alongside the rules below for subscriptions.

3.1 Subscriptions renew automatically, and here is exactly how that works

  • Before you pay, the payment page shows you the amount, the interval and that it repeats — it is a subscription page and the button on it says so. We tell you here, in advance, that the charge recurs every month until you cancel, and this paragraph is where the method of cancelling is explained.
  • You can cancel at any time from your profile page on this site, online, in the same place you subscribed. It is not a phone call, not a form, and not an email to us. Cancelling is one control in the same account you bought from.
  • Cancelling stops the next charge. You keep access until the end of the period you have already paid for, and nothing further is taken.
  • If we change the renewal price, we tell you by email at least 14 days before it takes effect, and you can cancel before the new price is charged.
  • We keep the record of your subscription and its terms for at least three years.

3.2 If you live in California

Everything in 3.1, and in addition we send you a reminder once a year stating that the subscription renews automatically, what it costs, when it next renews, and how to cancel.

3.3 Washington State

We are established in Washington and Washington law governs these terms. If Washington enacts a statutory pro-rata refund on early cancellation of subscriptions of this kind, we will apply it without waiting to be asked.

4. What we offer everywhere, on top of the above

4.1 The Astra licence: no refund for a change of mind once it is delivered

This section does not decide anything for consumers living in a country listed in 2.0 — section 2.1 does, and it wins.

Everywhere else: the Astra licence is delivered the moment your account is marked as owning it and the download becomes available. After that, losing interest, changing plans, or finding you do not need it are not grounds for a refund. This is the ordinary rule for digital goods. Using the program or the free AI trial confirms that the licence has been delivered and accepted.

Section 4.3 still applies, always, everywhere.

4.2 The subscription: 15 days, if you have not spent any of it

We refund a subscription payment in full when all of these are true:

  1. it is the first payment of that subscription — not a renewal;
  2. fewer than 15 days have passed since that payment; and
  3. you have not consumed any of the credits or limits the subscription included.

The third condition is the whole of it. A subscription is a right of access with an allowance attached; once you have spent from that allowance, the thing you bought has been delivered. We can see the consumption on your account and we will tell you the figure if you ask.

This is a voluntary offer and it does not cut down section 2.2. If you are a consumer living in a country listed in 2.0 and you have spent some of your credits, you can still withdraw within 14 days — you simply get back what you paid minus the part you used, instead of all of it.

4.3 What we refund in full, regardless of time or use

  • a duplicate or mistaken charge;
  • the product was not delivered through our fault, and is still not delivered 3 business days after you tell us;
  • a material defect that prevents the product being used as described on this site, which we have not fixed within 10 business days of your report;
  • anything else the law of your country requires.

5. What is not a ground for a refund

  • your computer or software environment does not meet the technical requirements published on this site;
  • you are not satisfied with the accuracy of speech recognition, the quality of generated text or speech, or other results that are probabilistic by nature and within the capabilities we describe — we describe what the product does, and we do not promise a particular answer;
  • delays in response time, recognition or synthesis speed, or text generation caused by your own hardware, your internet connection, or load at the third-party AI providers we route to;
  • you cannot use the product because of something you did that broke the Terms of Service;
  • you gave your account credentials, licence or invitation link to someone else;
  • a third-party service we route to changed, restricted or ended its own offering — we will tell you and, where it materially changes what you bought, section 4.3 applies instead;
  • using up, or the end of, the free AI trial.

6. How to ask for a refund

Write to contact@minice.ai and include:

  • the email address on the account that made the purchase;
  • the date and amount of the payment, and the transaction identifier from your bank or card statement, or from the receipt we sent you;
  • which product — the Astra licence, Plus, or Pro;
  • why you are asking, in your own words.

We answer within 10 calendar days of having everything above. When we agree to refund, we pay within a further 10 calendar days, to the same payment method you paid with. A different method only where that one genuinely cannot be used, and then only by agreement with you.

If you are withdrawing under section 2, we pay within 14 days of being told, which is the statutory period and is shorter than the above. You do not need to know which applies — say what happened and we will apply whichever gets your money back sooner.

7. What happens when we refund

The purchase is undone. For the Astra licence, the licence ends and the program stops being licensed to you. For a subscription, access to the cloud service ends and the remaining allowance is forfeited. For a partial refund under section 2.2, the subscription ends at the same moment.

We do not refund a payment and leave the access in place — that is not a refund, it is a gift, and pretending otherwise would make this document untrue.

8. Chargebacks

If something has gone wrong, write to us first. Nearly everything is faster that way, and a refund under section 4.3 costs you nothing and takes days.

We do not treat a chargeback as an offence and we will not close your account for filing one. But a chargeback is decided by your bank on the evidence both sides send, it takes weeks, and it cannot give you anything this policy does not already give you.

9. Changes to this policy

We publish a new revision number and effective date for every change, and we keep every previous revision at /legal/archive.

A change never applies backwards. The revision that was in force on the day you paid is the one that governs that payment, and it stays available in the archive so you can read it. For a material change we give at least 14 days' notice before the effective date. A change that applies only to purchases made after it is published takes effect on publication — the notice is for changes that reach what you have already bought.

10. What changed in revision 1.1 (11 October 2026)

  • Sections 2.1 and 2.2. The payment page now asks you, in a box you must tick, to request immediate delivery (the licence) or an immediate start (a subscription), and to acknowledge what that costs you, and we confirm it by e-mail. Revision 1.0 said we did not ask, and so an EU or EEA buyer of the licence kept 14 days even after using it. A licence bought through the new page has no right of withdrawal once it is delivered; a subscription bought through it can still be withdrawn from within 14 days, minus the credits used.
  • Delivery and use are now defined at the top of this document: the licence is delivered when your account is marked as owning Astra, and every request the app sends to our cloud service is performance of the contract.
  • Section 2 now covers every country listed in 2.0 — the EU and the EEA, as before, and the others in that table — and says that the payment page shows the box only to a buyer it locates in one of them by IP address; a consumer living there who was not shown it keeps the full 14 days.
  • Section 4.1 now points to section 2.1 for consumers in those countries instead of saying they have 14 days whatever happens.
  • Unchanged: a fault, a duplicate charge or a purchase we did not deliver is refunded in full, at any time (2.3 and 4.3); the voluntary 15-day offer for subscriptions (4.2); everything about the United States (section 3).
  • Subscriptions started before 11 October 2026 — a change in your favour, stated plainly. Revision 1.0 §2.2 said that withdrawing within 14 days would be refunded minus the credits used. The law allows that deduction only when the buyer asked for the service to start at once, and those checkouts never asked. So that deduction was never ours to make: withdraw within 14 days of such a subscription and you get 100% back, and section 2.2 now says so.

Who this revision applies to. Every purchase made from 11 October 2026, whether or not the payment page showed you the box described in section 2: where it did, sections 2.1 and 2.2 say what your request and acknowledgement mean; where it did not, they say you keep the full 14 days. Nothing in it reaches a purchase made before that day, or a renewal of a subscription started before it: those keep the terms in force when they were made — revision 1.0 (in the archive) from 5 October 2026, the law before — except where the bullet above gives you more. Because this revision applies only to purchases made after it is published, it takes effect on publication (section 9).

11. What changed in revision 1.2 (16 October 2026)

  • Section 4.1 now says that using the program, or using the free AI trial, confirms that the licence has been delivered and accepted — a consequence of the delivery test already in this document, made explicit because the trial makes "I used the program but it was never really delivered" an argument somebody could otherwise try.
  • Section 5 now lists using up, or the end of, the free AI trial among what is not a ground for a refund — the same rule section 2.4 of the [Terms of Service](/offer) and section 5.2 of the [EULA](/eula) state: the trial is a benefit on top of the licence, not part of what the licence price pays for, and running out of it is not a defect.
  • Unchanged: sections 2.1 and 2.2 (the EU/EEA withdrawal waiver) and everything about the United States (section 3) — revision 1.1 still describes them correctly; section 10 above says which purchases they reach.

Who this revision applies to. Every refund decision made from 16 October 2026, whatever revision governed the purchase. It does not narrow any right an earlier revision gave: nobody has ever had a refund right based on using the program or on the trial running out, so stating that plainly takes nothing away. Because of that, it takes effect on publication rather than waiting 14 days (section 9).
